RAAYA IndustrialIQ (OPC) Private Limited ("RAAYA", "we", "us" or "our") operates the website at raayaindustrialiq.in (the "Website") to introduce visitors to IndustrialIQ, our AI-powered industrial safety platform, and to let prospective customers request a product demo. This Privacy Policy explains, in plain language, what information the Website actually collects, how that information is used, and the security measures we have put in place. It applies only to this Website and does not cover any other RAAYA product, application or offline process.

3. Information Collected Through The Website

The Website is a marketing and informational site. Browsing its pages (Home, Platform, Industries, About, Contact) does not require you to create an account or log in. The Website does not use cookies, does not run Google Analytics or any other analytics or advertising tracker, and does not collect your precise location. The only personal information we knowingly receive from visitors is what you choose to type into the Book a Demo / Contact form described below, or what you send us directly by email or phone.

As with any website, our hosting and email-delivery infrastructure may process standard technical information (such as an IP address) that is inherent to serving web pages and sending emails over the internet. Our anti-spam rate limiter (Section 11) makes temporary, in-memory use of the request IP address for that specific purpose; it is not written to a database and is not otherwise used by us to identify or track visitors.

4. Information Submitted Through The Book A Demo Form

The Contact page includes a "Book a Demo" form (also reused as the site's general contact form). When you choose to submit this form, we receive exactly the fields you enter:

• Contact person / name
• Business email address
• Company name
• Industry (selected from a fixed list, e.g. Manufacturing, Warehouse, Logistics, Construction, Ports, Oil & Gas, Energy, Chemical, or Other)
• "Other Industry" — a free-text description, collected only when you select "Other" as your Industry
• Message describing your goals or questions
• Submission timestamp, recorded automatically at the moment the form is sent

The form also contains a hidden field that is invisible to human visitors and used only for spam detection (see Section 10). We do not ask for, and the form does not collect, payment details, government identification numbers, or your precise location.

5. How Submitted Information Is Used

When you submit the Book a Demo form, the information you provided is validated on our server and then sent as a single email notification to RAAYA's demo-request inbox. That email includes the fields listed in Section 4 so our team can review your request and reply to the business email address you provided, with your submitted address set as the reply-to address. We use this information solely to evaluate and respond to your demo request and any related follow-up communication with you.

6. Purpose Of Processing

We process the information described above for the following purposes only:

• To understand your organisation, industry and requirements ahead of a demo
• To contact you about your request and schedule or deliver a demo
• To respond to general enquiries sent through the same form
• To protect the form and our systems from spam and abusive automated submissions

We do not use information submitted through the form for advertising, and we do not sell or rent it to third parties.

7. Email Processing Through Our Email Delivery Provider

Demo-request emails are sent using Resend, a transactional email delivery service, which our server calls after validating your submission. Resend transmits the email containing your submitted details to our inbox on our behalf; it acts as our email delivery provider for this single purpose. We do not use Resend, or any other tool, to send you marketing emails based on this form.

8. Website Security Measures

The Website is served exclusively over HTTPS and applies the following security measures at the infrastructure level:

• HTTP Strict Transport Security (HSTS) to enforce encrypted connections
• X-Content-Type-Options: nosniff to prevent MIME-type sniffing
• X-Frame-Options: SAMEORIGIN to reduce clickjacking risk
• Referrer-Policy: strict-origin-when-cross-origin to limit referrer information leakage
• Permissions-Policy that disables camera, microphone, geolocation and payment APIs for the Website

In addition, submissions to the Book a Demo form are validated and sanitised on our server (see Sections 9–11) before being used to compose the notification email, including escaping of characters that could otherwise be used for injection.

9. Form Validation

The Book a Demo form validates input both in your browser and again on our server before any email is sent. Required fields (company name, name, business email, industry and message) must be filled in; the email address must match a standard email format; each field has a maximum length; the Industry field must match one of the fixed options offered; and when "Other" is selected as the Industry, the "Other Industry" field becomes required and is validated too. If validation fails, the form is not submitted and no email is sent.

10. Honeypot / Anti-Spam Protection

The form includes a hidden "website" field that is not visible or reachable by real visitors but is often filled in automatically by spam bots. If this hidden field contains any value when the form is submitted, our server treats the submission as automated, does not send a notification email, and returns a generic success response so that bots cannot easily detect and circumvent the protection.

11. Rate Limiting

To reduce spam and abuse, our server keeps a short-lived, in-memory count of form submissions per IP address and per email address, and rejects further submissions once a small threshold is exceeded within a short rolling time window. This is a best-effort safeguard rather than a persistent, database-backed system: the counters are held only in server memory and reset whenever the underlying serverless function instance recycles.

12. Data Security

Information you submit through the Book a Demo form travels to our server over an encrypted HTTPS connection and is transmitted to our email provider over an encrypted connection as well. The Website itself does not write your submission to a database — it is used only to compose and send the notification email described in Section 5. Access to the inbox that receives these emails is controlled by RAAYA. While we take reasonable, currently-implemented steps to protect information in transit and in the resulting email, no method of transmission or storage can be guaranteed to be completely secure.

13. Data Retention

Because the Website does not store form submissions in a database, the information you submit is retained only within the email notification delivered to our team's inbox, for as long as we need it to respond to your enquiry and manage the resulting business relationship, and subject to our email provider's and mailbox's own standard retention practices. We have not adopted a fixed, publicly documented retention period beyond this; if we introduce one in the future, we will update this Privacy Policy accordingly.

14. Third-Party Services

The Website relies on a small number of third-party services to operate:

• Resend — delivers the Book a Demo notification email described in Section 7.
• Google Fonts — loads the Website's typefaces from Google's font servers.
• Google Maps — an embedded map on the Contact page shows our office location.
• Vercel — hosts and serves the Website.

Loading fonts or the embedded map may cause your browser to make a direct request to Google's servers, in the same way any embedded third-party resource works. We do not use these services for advertising, and the Website does not integrate any advertising network, analytics platform or social media tracking pixel.

15. Your Rights & Contact Requests

You may contact us at any time to ask what information you submitted to us through the Website, to request that we correct inaccurate details, or to ask us to delete a demo request or enquiry you previously sent us. We will make a reasonable, good-faith effort to respond to and act on such requests. Depending on where you are located, you may also have additional rights under applicable local law; this Policy does not itself make any representation about which specific data-protection regime applies to your request, and you are welcome to specify any rights you wish to exercise when you contact us.

16. Changes To This Privacy Policy

We may update this Privacy Policy from time to time as the Website, the Book a Demo form, or the services we use evolve. When we do, we will revise the "Last updated" date at the top of this page. We encourage you to review this page periodically so that you remain aware of how we handle information submitted through the Website.
